Because Printworks is a total solution for all of your print output requirements, we have developed the Image Output Assessment (IOA). The IOA is a process in which our company works with yours not only to provide a snapshot of the current document and image flow through your organization, but through key interviews with priority personnel, assists in developing a cohesive plan for your growth. The IOA takes just a small amount of your employees’ time and is provided at no cost to you. The assessment is beneficial to you because it validates whether or not your current expenses meet industry standards. It also reveals areas where your company can be more cost effective and provides new ideas andsolutions from industry experts.

There are three components of the IOA — key interviews consisting of a brief interview conducted with priority end–users to determine their specific document flow, a basic sketch of the office environment including layout of individual office spaces and equipment, and a print audit. The audit is a 15 or 30 day tracking of prints sent to local and network printers, MFP’s, and fax machines. Windows XP and other software applications will be utilized for local printers and network connected devices.

You will get an IOA document that includes an introduction to management explaining the process (why the assessment was scheduled, etc.), an outline of the key interviews with priority end-users and any discovered information, an asset list of all equipment found in the equipment layout phase of the assessment, a basic layout of the office environment and equipment, and a print audit segmented in a variety of ways to include total prints by printer, total prints organization wide, and the costs associated with current document flow. You will also get suggestions and recommendations that include how to improve costs and productivity within the document flow model. It is a strategy for moving forward with improving information management. Your Printworks package also includes a customized Environmental Impact Assessment that shows just how much your company can reduce landfill waste, energy usage, and the amount of paper used when our document management recommendations are implemented. Recommendations may include utilizing a consolidation model, Ecosys toner-centric printers, and equipment with duplexing options.
